Paperwork requirements— Billing and Supporting documents
Last updated: October 27, 2026
Jobs will need to have billing and supporting documents to support the approval of your jobs that you submit for funding. See the list of documents that you can use in the job creation form.

Billing documents paperwork
Document Type | Why is this required? |
Proof of Delivery required ex: BOL or manifest signed by receiver | To bill your customer we'll need a copy of the signed proof of delivery to ensure payment. When you use a BOL, the receiver's signature must appear on the BOL itself. A signature on a separate paper does not substitute for an unsigned BOL. A generic signed receipt may also be insufficient when the payer requests a complete BOL showing what shipped and was delivered. If a broker says it does not need a BOL/POD or has another documentation policy, provide Support with the reason and the broker's written confirmation. The confirmation should state both that no additional documentation is required and that the broker authorizes release of payment to Truckstop Factoring. Support may accept that explicit, load-specific confirmation instead of the requested BOL/POD for review. A generic broker message or your own confirmation is not equivalent. Wait for Support to confirm the specific load's status; neither the confirmation nor document submission guarantees funding. If a broker requests a clear, legible, corrected, or specific BOL/POD, that is the broker's documentation condition and is not necessarily a request from Truckstop Factoring. Provide the document or paperwork requested. If the request is unclear, ask the broker to identify the exact document or discrepancy rather than only stating that the submitted paperwork is correct. Follow Support's instructions and wait for confirmation of the specific load's status. Some payers may accept a shipper- or consignee-produced BOL instead of a broker-branded form, but only when that payer has confirmed acceptance and the delivery recipient has signed it. Obtain written acceptance from the applicable payer for the specific shipment; do not assume another payer will accept the same form. |
Proof of agreed upon rate with shipper required ex 1: screenshot of email or text ex 2: load tender created or signed by the shipper | This is to ensure we are lending out the correct amount of money. The rate confirmation must come from the shipper (customer), not from your own rate confirmation. Uploading only your rate confirmation/invoice will result in the job being rejected with a message stating the customer rate confirmation is missing. |
| Accessorial sometimes required ex: lumper receipt | If your customer requires any other documents, we'll need them for billing too. |

Supporting documents paperwork
Document Type | Why is this required? |
Contractor Invoice with Address required | It is best practice to always get an invoice from a contractor before paying them. Denim also needs their invoice to ensure we are remitting payments to the correct company and address. A simple invoice is useful when it includes the carrier's company name, address, and contact information; broker name and address; load number and basic load details; agreed rate and any accessorials; total amount due; and invoice date. These are useful contents, not a prescribed template or a guarantee that the invoice alone qualifies a job for funding. The invoice accompanies the signed POD/BOL and the shipper rate confirmation when required. |
Proof of contractor prepayment ex 1: screenshot of ACH to contractor ex 2: bank statement showing cleared check | This is a due diligence measure to confirm that your contractor has been paid in cases when Denim is not making the payment. |
Carrier rate confirmation sometimes required | We'll need this in cases when you have contracted your own carrier side to complete a load. |
Document checks and corrections
Keep delivery proof separate from rate-confirmation or dispatch paperwork. A rate confirmation or dispatch sheet, including one marked “received,” does not by itself meet a payer's request for a BOL or signed delivery receipt. Follow the payer's stated document and receiver-detail requirements. A BOL alone does not guarantee funding.
Provide every page for every requested stop. If a payer's current, load-specific instruction requires complete BOLs for every stop, submit one complete BOL for each stop, including every page of each BOL. A packet containing only a later page for a stop, or only one previously submitted first page, does not satisfy that explicit request. Follow the payer's submission requirements and resubmit as directed. This is not a universal page or format requirement, and resubmission does not guarantee payment.
Match every document to the billed load. Check the load or reference number and any shipment identifier specified by the payer so that each BOL/POD, rate confirmation, invoice, and other required document supports the same job. If Support identifies different carrier names or identities across documents for the same load, provide updated documentation that reconciles the carrier information when requested and wait for review. Do not assume that a lease, insurance certificate, vehicle schedule, or any other particular document is universally required or sufficient. If Support or the payer identifies a mismatch or requests a particular signed form, provide the corrected document for the right load or ask Support or the payer to confirm what is needed. A return receipt or trailer number is required only when the specific payer or load calls for it.
Correct a carrier-name mismatch on a rate confirmation only as directed for that load. If a current, load-specific broker notice says the carrier name is incorrect, use the correct carrier identity confirmed for that load and obtain or update the rate confirmation accordingly. Do not guess a replacement name from an MC number or unrelated record. Follow the notice's correction path, including reverting the affected job to Draft and resubmitting for funding when directed. If the correct identity or action is unclear, ask the broker or Support to confirm. A corrected rate confirmation and resubmission do not guarantee approval or funding, and the notice's instructions do not necessarily apply to other loads or payers.
Correct a broker-name mismatch. If Support identifies that a load's rate confirmation names a different broker, ask the broker for a corrected rate confirmation showing the correct broker identity and provide it as directed. This applies to the identified load; correction does not guarantee approval or funding.
Respond to missing carrier information on a rate confirmation. When a current, load-specific notice says the rate confirmation is missing complete carrier information, check the notice for the specified field or location and ask the broker to issue a corrected confirmation containing the carrier's complete information. Support may identify a particular location, such as an upper-right box, for that load; do not assume the same location applies to every confirmation or guess which identity or details belong there. This correction does not guarantee funding.
Keep a missing carrier name on a BOL distinct from a rate-confirmation issue. When Support or a payer identifies that the BOL for a particular load is missing the carrier name, obtain a BOL showing the carrier name and submit it as directed. This does not establish that every BOL universally must carry the name, and it does not confirm that the load will be approved or funded.
Compare weights when a BOL weight discrepancy causes rejection. Compare the weight on the BOL with the weight recorded for the load and the other supporting paperwork. If the records do not make the correct weight clear, ask Support to identify the discrepancy; do not guess or alter a document. Follow Support's specific correction and resubmission instructions. This check does not establish a universal weight tolerance or guarantee approval or funding.
Include permits for heavy-haul submissions when applicable. For a heavy-haul load, attach the applicable permits with the BOLs and rate confirmations when instructed. This may help prevent rejection, but it is not a requirement for every load and does not guarantee approval or funding.
Correct missing dates. When a notice or Support identifies missing pickup or delivery dates on a rate confirmation, request or provide a corrected confirmation containing the missing date information and follow the specific resubmission instructions. Do not assume a particular layout or date field is required for every transaction.
Submit one corrected invoice when requested for one job. If Support asks for an updated carrier invoice for a single job and separate invoice documents were provided, submit one carrier invoice showing the correct total for that job. This does not mean that all supporting paperwork for every load must be combined into one file.
Case-specific paperwork exceptions
If an official BOL is unavailable for a delivered load and the available rate confirmation is signed by the delivery receiver, do not treat the rate confirmation as automatically satisfying the BOL/POD requirement. Ask the broker to verify the load's rate and delivery and confirm that it is good for payment. Submit the receiver-signed rate confirmation for manual review, then wait for confirmation that the broker's verification is complete and the load can proceed. This is not a general BOL waiver and depends on broker confirmation for the specific load; approval or funding is not guaranteed.
If a rate-confirmation carrier-name discrepancy cannot be corrected, do not change the job type on your own. Support may confirm a non-factored submission as a case-specific option only after reviewing the specific job and payment circumstances, including that the broker cannot issue a corrected confirmation and has not yet paid the invoice. In the described non-factored workflow, a carrier invoice is not required; submit the POD and broker/customer invoice, attach the carrier to the load in EZ Loader, and configure the correct payee in the Denim portal. Carrier payment follows receipt and application of the customer's payment, so document submission does not trigger immediate payment. These steps apply to the described non-factored workflow and are not general requirements for factored jobs. Do not assume this option works for every identity mismatch or guarantees approval, payment, or timing.
Possible exception for an empty move
A power-only empty move with no shipper BOL may qualify for an exception only when the broker's manager or authorized accounting/ICS team confirms that the exception applies and approves or records the override in the broker's system. Ask the broker to confirm this for the specific load, then contact Factoring Support with the load number to confirm status. Do not assume that all empty moves, power-only loads, or trailer relocations are exempt, and do not rely on a shop receipt as proof that a BOL exception was accepted. A case-specific exception does not guarantee funding or a payment timeframe.
